Management code system in A.S.I.A.
Code system
In A.S.I.A., you can build up a flexible system depending on business category and organizational framework by registering systematized codes such as departments, A/C and goods. The following chart shows the system with major codes used in A.S.I.A.. For concepts of group codes, please refer to "Concept of the group in A.S.I.A.."
Dept-oriented code
Items which are used to summarize accounting
data are called Dept-oriented code.
Since they are functioned as items, they can also be featured as units for
budget control and financial statements.
Every item is equal. The
following table shows an example of Dept-oriented code. For details of those codes, click a link on the headers of the table.
Code use | Company | Project Code | Dept | Accounting analysis code | Correspondent |
Example of usage (organizational framework) |
Given to companies that introduce A.S.I.A. (Parental company, subsidiaries are registered as correspondents.) |
Budget can be controlled by giving those codes to unique organizational units such as business unit or in-house company. |
Given to actual Depts. Actual Depts as objects of cost control (Depts that are authorized to make an entry in manufacturing cost A/C) can be distinguished as "Manufacturing Dept." |
- |
Given to business partner units. |
Other uses |
Budget can be controlled by giving those codes to time-limited promotions. |
Given to units such as warehouse and process. |
Used as codes that specialize in accounting such as "Finance code" and "Construction code." |
Can be given to units such as correspondent's departments (any units can be used). |
|
Example in Business Engineering Corporation |
Given to separate "Internal project" (No sales) from "External project" (with sales) Since Code No. consists of "2 digits of the Christian Era year," you can see start year of the project. |
Using "Warehouse Dept" for managing bookshelves and warehouses. |
- |
Code No. is provided to clarify "capital status" and "domestic and foreign differentiation." |
Code use | Class | Job title | Employee |
Example of usage (organizational framework) |
Given to authorization units of system use and approval. |
Given to job title units. They can be used to manage unit price by job title. |
Given to units of individual employees. |
Other uses |
- |
Can be used to manage brief personal history by linking employees. |
Used to manage employees for the purpose of personnel control as well as specifying roles as system operators by registering to which Dept and class they belong. Board member can be registered separately. |
Example in Business Engineering Corporation |
Used as authorized units in rough categories: "Employee," "Sales" and "General affairs/Personal affairs." |
Given to job title units of employees such as "Associate," "Chief" and "Manager." |
- |
A/C-oriented codes
Codes related to A/C are called A/C-oriented
codes.
A/C employs sub A/C and A/C property.
Data level is a holding unit of accounting balance that is independent from
A/C. An example of A/C-oriented
codes is as follows:
Code use | Data level | Layer | A/C | Sub A/C | A/C property |
Example of usage |
Supports multiple accounting standards by making definitions such as "Level 1 = Common," "Level 2 = Japanese standard" and "Level 3 = U.S." |
Registered by corresponding to data level when separating closing revaluation in securities management and depreciation calculation in fixed assets management. |
Can be used to set up sub A/C which are classified from the "Current deposit" A/C by bank. |
Necessary to set up entry-required/optional/prohibited property and balance update property by item (Dept/Correspondent/Project code 1, 2/Accoutning analysis code 1, 2/D description) in A/C or A/C property. |
|
Other uses |
"Level 1=accounting," "Level2=adjustment for tax law," etc. |
- |
Can be registered more precisely instead of specifying sub A/C. |
Financial statements can be output by item. |
|
Example in Business Engineering Corporation |
Data level is divided into "System accounting," "Tax law," "Management accounting" and "International accounting." |
- |
Roughly categorized as "Cash," "General deposit" and "Account receivable." |
Since sub A/C cannot be added to A/C that does not employ any sub A/C after the beginning of management, they can be registered under the same name even when there is only one sub A/C. |

Goods-oriented codes
Codes related to goods are called
goods-oriented codes.
They can be collectively managed in packing unit or product structure, making
goods as basic units.
Manufacturing No. and/or analysis codes can be given to goods as the
property. Moreover, unit price of
goods can be categorized into common in correspondent and by correspondent for
master registration.
An example of goods-oriented codes is as follows:
Code use | Product structure | Packing unit | Goods | Manufacturing No., Analysis code | Unit price |
Example of usage |
Used when you want to tie primary goods with subsidiary goods (necessary products/materials for manufacturing the primary goods) in the operation of manufacturing sector. |
Goods can be treated as "packing," e.g. registered "regarding 50 cans of juice as 1 case." |
Can be registered under 8 types: "MDSE," "Product," "Work in process," "WIP," "Raw material," "Other inventory," "Equipment" and "Consumables." |
Analysis code can be used as codes of complete trade management (sales/purchase/inventory) such as "Lot No.," "Serial No." and "Cost code." |
Sales/purchase unit price can be registered for one sort of goods based on common in correspondent, by correspondent, common in Dept, by Dept, by currency, or by packing unit. |
Other uses |
There are assembly processing type (e.g. manufacturing of precision measuring equipment such as CD-ROM) and material processing type (e.g. refining oil). |
Multiple packing units can be set up for one sort of goods. |
Properties such as manufacturing No. and analysis code can be registered. |
- |
Standard unit price can be also registered individually. |
